Volunteer Co-ordinator Role Description

Objectives

The Volunteer Co-ordinator, who undertakes his/her duties on a voluntary basis, will play a key role within the ERC, recruiting, training and supporting volunteers and liaising with paid staff on volunteer issues.

Key Responsibilities

  1. To co-ordinate the recruitment of volunteers.
  2. To liaise with prospective volunteers in order to identify suitable roles.
  3. To develop and manage an induction programme, incorporating introductions, the ERC organisation, policies and procedures, health and safety briefings etc.
  4. To plan & organise volunteer cover ensuring that any absences are covered.
  5. Identify and co-ordinate volunteer development including attendance at Team Meetings etc.
  6. To hold formal review sessions with volunteers on an annual basis or where required more frequently.
  7. To manage day to day volunteer issues.
  8. To set up and maintain administrative systems to monitor volunteer activities and maintain confidential records of volunteers.
  9. Report to and liaise as required with Centre Manager and Professional Consultant on volunteer issues.
  10. Updating Central and Computer diary as necessary.
  11. To deal with emails as required.
  12. To attend ERC team meetings and participate in moving the ERC forward.
  13. To attend reviews with the Centre Manager as required.
  14. To market the work of the ERC within the community and employers.
  15. To assist with fundraising events.
  16. To maintain confidentiality at all times and work within Data Protection Act regulations.
  17. To undertake other duties as may reasonably be requested by the ERC Manager.

Experience & Knowledge

  1. Experience of managing people - particularly volunteers.
  2. Understanding of volunteer expectations.
  3. Knowledge of Office Procedures.

Skills

  1. Good management skills.
  2. Good communication and interpersonal skills with people of all backgrounds and abilities.
  3. Team Worker.
  4. Good IT skills

Approach

  1. A business like approach that, both in terms of manner and dress, inspires the respect and confidence of volunteers
  2. To treat with respect all volunteers and others involved with the ERC and to be committed to and demonstrate equality of opportunity for all.
  3. To be able to adapt approach to differing volunteers.

Availability

  1. 7 hours per week (normally over one day a week or two half day sessions but with some flexibility of day and time).
  2. Volunteers are expected, wherever possible, to give at least 10 days notice of unavailability.
  3. Volunteers are expected to be available to attend team meetings (normally held quarterly on a Monday or Friday morning) and Volunteer Administrator meetings (normally held six monthly after a team meeting).
