We are hiring a part time office administrator!

About Us

Resource is the Jewish community’s go-to resource helping people into work. We work with people to boost their confidence and build their skills, to ensure they find and secure the right job. Our highly skilled, professional volunteers and our small, friendly team of staff support over 1,000 people each year in their job search.

Dedicated advisors give each client expert advice and guidance, tailoring their journey of 1:1 support, workshops and seminars. Based on two sites in Finchley, our services are all available online nationwide. Clients can access a wide range of services, including writing effective CVs and job applications, networking, psychometric testing, up to date IT skills, and mock interviews.

About you

This role is for someone who loves working in a busy environment, where everyone pitches in to deliver the best possible service for our clients at all times. With a warm, compassionate nature and a desire to achieve the highest standards, you will help us to support our clients, volunteers, staff and trustees in our mission to help unemployed people into work.

Purpose of the role

Reporting to the Office Manager, the role is to support the Office Manager and the Chief Executive in the smooth running of the charity. The Charity Administrator will be involved in all aspects of the administration, including getting to know our clients and volunteers, managing appointment bookings, organizing fundraising events, looking after our database and communicating with donors.

We are a small, family-friendly and professional team who work closely with our wonderful volunteers to help our clients into work, and we all go that extra mile to give our clients whatever support they need.

Key Responsibilities

General:

· To welcome and be a warm, helpful and efficient point of contact for all clients

· Manage resources at both our sites, including stock control, purchasing stationery and other supplies including refreshments

· Co-ordinate administration for fundraising events

· Support the Relationship Manager and Marketing and Communications Manager in varied tasks, which may include adding jobs to our Jobs Board, extracting data from the database, creating reports and presentations, website maintenance and social media posts

Clients

· Respond quickly and professionally to clients in all forms of communications, including emails, phone calls, live chat and face to face

· Manage the appointment calendar

· Create and send out Zoom and Team appointments to clients and advisors

· Look after clients using the office for their job search and ensure that they have everything they need for their job search

· Maintain our database accurately; create, extract and run reports

Seminars/Webinars

· Help manage seminar bookings, including keeping the relevant pages on the website up to date

· Liaise with seminar facilitators to help with them run the sessions smoothly, trying to pre-empt any issues and suggesting improvements where possible

Donors

· Write to donors to thank them for donations, logging the donations in the database and completing Gift Aid documentation

· Organize monthly donation letters

· Reconcile donations to QuickBooks

Skills, experience and characteristics

The ideal candidate will have the following qualities:

Essential:

· Excellent IT skills, including a high level of proficiency in Microsoft Office (Outlook, Word and Excel) and Microsoft Teams

· Comfortable manipulating databases, with the ability to extract data, create and customize reports

· Excellent communication skills, both written and oral, and ability to communicate effectively and build productive relationships with a diverse range of people

· Solid administrative experience, with proven ability to develop and manage systems

· Ability to deal empathetically with all our clients, including vulnerable individuals

· Innovative, with ability to develop and implement creative ways of working

· Self-motivated, able to prioritize tasks and manage own workload, using initiative to meet deadlines in a busy and sometimes pressurized office environment

· Knowledge and/or understanding of the Jewish community and culture

Desirable:

· Working with and or/supervising volunteers

· Working with vulnerable people

· Knowledge of relevant legislation eg Health & Safety, GDPR, Equal Opportunities

· Experience of managing websites, including using CMS

· Working knowledge of Salesforce, Campaign Monitor and Zoom

· Experience of working within a charity, perhaps in marketing, fundraising, finance or administration

Working hours and salary

Proposed hours (although there may be some flexibility):

19 hours per week, to be spread as follows:

· Tuesdays 8.45am to 5pm (7.25 hours)

· Wednesdays 8.45am to 5pm (7.25 hours)

· Fridays 8.45am to 1.15pm (4.5 hours)

Salary and Benefits:

Salary: £20,600 pro-rata (£11,180 for 19 hours per week)

Pension: Contributory Pension scheme

Location: Resource office in Finchley Central, N3 2JU (some home working may be possible)

Holidays: Pro rata 4 weeks’ annual leave plus stator public holidays and Jewish Holy Days

Start date: Early April 2022
